I have watched cleaning companies run solid operations on the job calendar and still bleed candidates because nobody could answer simple questions on a Tuesday: How many people are we actually talking to? Who has an interview this week? Who has been sitting in “working interview” for two weeks with no note?
Spreadsheets and shared inboxes can hold the data. They rarely surface it when you are in a hurry. When recruiting is scattered:
- Volume hides problems — Ten “active” threads in email is not the same as ten people in a defined stage. Some are duplicates, some are cold, and nobody agrees on definitions.
- Handoffs don’t leave a trail — The person who did the phone screen remembers the next step. The office manager does not. The candidate waits.
- Training and paperwork are separate movies — Offer letters, e-sign packets, and module assignments each live in their own tool. Without a single timeline per person, you chase status instead of moving people forward.

Three Numbers Worth Glancing At Daily
On the Candidates tab we put summary cards where your eye lands first:
- Open pipeline count — How many people are still in play versus closed outcomes. If that number creeps up and revenue per cleaner is flat, you either have a sourcing win or a bottleneck.
- Interviews scheduled this week — Pulled from interview datetime on the record. This answers “is our funnel converting effort into conversations?” without opening ten calendars.
- Cross-links to Trainees and Documents — Quick context for how many people are in structured training and how many signing packets exist org-wide, so you do not treat hiring as finished when someone is still mid-paperwork.
Those cards are not a replacement for judgment. They are a replacement for guessing — the same reason we built the KPI reports every cleaning business should track on the operations side of the product.
Time in Stage Is a Signal
On the board view, each card shows days since applied with a simple urgency treatment. The point is not to shame anyone—it is to spot who is going stale while you are busy dispatching tomorrow’s route.
Pair that with list view when you want density: filters for stage and employment type (for example W-2 vs 1099), search across name, email, and phone, and the same stage moves you would make on the board.
Important distinction: this board is only for hiring stages. It does not move client jobs on the job calendar. Scheduling stays in the scheduling tools. Dragging a card updates pipeline stage, not a cleaning appointment.
When Moving Someone Should Prompt the Next Step
A lot of hiring software stops at “change status.” In the field, the next step is usually send the thing—interview confirmation, offer email, handbook packet, training kickoff.
When a stage has workflows attached (emails, document sends, conversion steps, and similar), moving someone into that stage opens a confirmation flow so you do not fire automation by accident, but you also do not forget to run it. That matches how owners actually work: intentional, but not another sticky note.
Stage-change email templates still live under Settings; the pipeline makes it obvious when those automations are wired, so you are not debugging silent failures a week later.
Bulk Moves and the Active Roster
When you are clearing a job fair or wrapping a hiring push, bulk stage moves beat opening twenty records. Select the people who share the same outcome, pick the target stage, and move them together—then let workflow prompts handle the exceptions.
We also added an Active employees lens tied to org users (with a link back to the candidate record when someone came through the pipeline). That answers a different question than “open reqs”: Who is already on payroll or in the system as staff, and how does that line up with people still in training? Once someone's active, tracking which cleaners are actually profitable is usually the next number worth watching.
Training templates and assignments stay on the Trainees and Templates tabs; Documents stays the operational list for e-sign status. The dashboard is the front door, not the whole house.
