Growing a cleaning company means more than filling the calendar—you need a repeatable way to move people from “applied” to “productive on the truck.” Most teams start with inbox threads, text chains, and a folder of half-signed PDFs. That works until you are juggling five interviews, two working interviews, and someone waiting on a W-4.
We built Hiring & Onboarding as a dedicated area in Gem City Cleaning Tools: one header, five tabs, and workflows that match how residential and commercial operators actually hire cleaners and office staff.
Professional plan: Hiring & Onboarding is available on the Professional tier. Free accounts see an upgrade prompt—same pattern as other advanced operations features.
Why Hiring Breaks Without a System
When hiring lives only in email and personal notes, three problems show up fast:
- No shared truth — The owner knows a candidate is in “working interview,” but the office manager still has them marked as “new.” Dispatch and payroll decisions get made on bad information.
- Dropped handoffs — Offers, background checks, and first-day scheduling are each separate tasks. Without a visible stage, something always slips.
- Training is invisible — You cannot tell which new hire finished the handbook quiz, who is mid–90-day plan, or who still owes a policy sign-off.
A single workspace does not replace good judgment. It gives everyone the same picture and a place to attach documents, emails, and training progress.
What the New Workspace Covers
The main screen is organized into tabs:
- Candidates — Active hiring pipeline with list and board views, filters, and actions tied to each person.
- Trainees — People in structured training with template assignments and completion progress.
- Templates — Training and document templates you create, duplicate, and assign.
- Documents — E-sign requests and status (sent, opened, signed, expired, and more).
- Settings — Hiring stages, default stage presets, onboarding checklist items, and automated emails when a stage changes.

Candidates: Pipeline You Can See
The Candidates tab is built around your org’s hiring stages—from new applicant through offer, onboarding paperwork, training, and terminal outcomes (hired active, rejected, withdrawn, and similar). You can:
- Switch between table view and a board view that groups people by stage.
- Move candidates between stages on the board when you want a fast visual update (this is separate from job scheduling—your crew calendar stays focused on jobs).
- Filter by stage and employment type (for example W-2 vs 1099), and search by name.
- Open a candidate record with interview notes, uploaded files, an onboarding checklist with progress, and an activity timeline (stage changes, notes, documents sent or signed, email opens and link clicks when tracked).
- Use bulk actions when you need to work multiple records at once.
- Add a new hire from a modal that collects contact details (including address via Google Places), source, desired start date, interview fields, and categorized document uploads.
For a closer look at the dashboard cards, board urgency signals, and the workflow-confirmation flow that fires when a stage change should trigger the next step, see see your cleaning hiring pipeline without another spreadsheet.
When someone is ready to become a system user, the flow supports converting a candidate into a user account so they can use the cleaner portal and the rest of the app—without retyping their profile. Once they're active, tracking which cleaners are actually profitable is usually the next report worth running.

Trainees and Training Templates
After offer and paperwork, training is where quality and safety actually stick. The Trainees tab lists people in training with per-person progress across assigned templates (completed vs in progress vs not started). You can open a trainee, review assignments, and assign templates from your library.
Under Templates, you manage reusable content grouped by categories such as 90-day roadmap, trainer guide, weekly quiz, policy, checklist, and custom. You can create, edit, duplicate, and refresh training material as your SOPs evolve. A nested area handles document templates used in the broader onboarding flow.
This keeps training out of scattered Google Docs and ties completion back to a person in Gem City Cleaning Tools. If you want the actual day-by-day training timeline and the 30-60-90 day check-in script behind those templates, that's in From Job Post to First Solo Clean: A Hiring and Training Playbook.
Documents and E-Signatures
The Documents tab is the operational view of signing packets: what went out, what was opened, and what came back signed. Status chips cover the lifecycle (for example draft, sent, opened, signed, expired, voided). You can search, filter by active vs archived-style groupings, download completed files, send reminders where appropriate, and run bulk actions when you are cleaning up a batch of requests.
Pair this with candidate-level actions (send for signature, attach files) and the timeline shows document sent and document signed events next to stage changes—so you are not guessing whether the handbook actually returned.
Settings: Stages, Checklists, and Stage Emails
Settings is where the pipeline becomes yours:
- Hiring stages — Reorder stages with drag handles, edit labels and behavior, or load a default stage set when you want a proven baseline to customize.
- Onboarding checklist — Define items like I-9 verification, W-4 submitted, background cleared, uniform issued, first day scheduled, portal access—then track completion on each candidate.
- Onboarding email templates — Email templates can trigger on stage change (for example “application received,” “interview confirmed,” “offer extended,” “welcome to the team,” “training starts soon”). Seed starter copy is available so you are not staring at a blank editor.
Stages drive both the board columns and automation hooks, so the order you set is the order your team sees.

FAQ: Hiring & Onboarding in GCCT
What is Hiring & Onboarding in Gem City Cleaning Tools?
It is a Professional feature set with five tabs—Candidates, Trainees, Templates, Documents, and Settings—that centralizes hiring stages, training assignments, e-sign tracking, checklists, and stage-based emails in the same product you use for scheduling and operations.
How is the candidate board different from the job calendar?
The board view only reflects hiring stages for applicants and new hires. It does not replace the job calendar; scheduling jobs for clients stays in the scheduling experience. Moving a card updates pipeline stage, not a cleaning appointment.
Can I customize hiring stages?
Yes. Under Settings, you can reorder, edit, and add stages, or start from a default stage pack and tailor labels and flow to your process (phone screen, working interview, background check, offer, training, and so on).
What does the activity timeline show?
Per candidate, the timeline can include stage changes, notes, documents sent or opened or signed, and email engagement events such as opens and link clicks when available—so managers see a chronological record instead of digging through inboxes.
How does training tracking work?
Trainees see assigned templates with statuses like not started, in progress, and completed. Progress bars summarize completion. Templates live under the Templates tab with categories (for example 90-day roadmap, weekly quiz, policy).
What document statuses can I filter in the Documents tab?
Typical statuses include draft, sent, opened, signed, expired, and voided, with filters for active vs broader lists. You can also perform bulk actions when managing many packets at once.
How do I add a new hire record?
Use New Hire on the Candidates tab. The modal supports contact and address (with Google Places), employment type, stage, source, interview fields, and document uploads by category—so the file cabinet starts organized.
Is there a trial before I pay for Professional?
Yes. Gem City Cleaning Tools offers a 14-day free trial with no credit card required, and Professional includes the full Hiring & Onboarding workspace alongside scheduling, portals, invoicing, and reporting features described on the pricing page.
